Member Registration Procedure
1. On the system login page, click the "Register" link.

2. On the new member registration page, select your membership type.

3. After selecting the appropriate membership type, enter the required information according to the selected type, then click "Submit".

4. After submission, read the Terms of Use, then click "Agree and Accept". You will receive a verification email.

5. Upon receiving the email, click the provided link to verify your email address.

6. If the activation is successful, the system will display a confirmation message.

7. The system will then send your Member ID via email, which will be used for login.

8. Once you receive your Member ID, log in to the system using the following link:
https://erms.jsma.org.hk/member/login
Note: Login requires your "Member ID" and "Password".

9. Under "My Profile", enter your mailing address and class information to prepare for enrollment.

10. If you need to change your password, you can reset it under "My Profile".

11. If you forget your login password, go to "Forgot Password" and enter your Member ID. A reset email will be sent to you.


School Search
1. Select the school type
2. Enter keywords (in Chinese or English)
3. Click "Search"

4. Confirm the number of search results; the results will appear in the school selection dropdown.


5. After filling in all required information clearly, read the system guidelines, and click "Agree and Submit" to proceed.

6. For individual members, after completing the registration, check your inbox for a confirmation email and click the verification link inside.
For School and Organization Members, JSMA staff will verify your identity via phone after submission. A confirmation email will be sent afterward. Please check your inbox and click the verification link.
7. After email verification, your Member ID will be sent via email. Once received, you may log in to the system.
(If you do not receive the email, please check your spam or junk mail folders.)
8. Registration complete.

Update Personal Information
1. Click the icon on the top right or select “My Profile” from the left-hand navigation menu.

2. Enter the updated information and click “Save” to update.If you have trouble selecting a school, please refer to the “School Search” section.


Membership Card
1. On the Member System homepage, click “E-Membership Card” from the left menu.

2. The E-Membership Card shows your name, member ID, and validity date.

3. Members can present this card at participating merchants to enjoy membership offers. Some merchants may require identity verification documents to confirm membership.
Competition Enrollment
1. Log in to your member account and go to the "Enrollment" section.

2. Ensure your Contact Information under “My Profile” is complete before proceeding.

3. Update and enter all required details.
** Note: Grade and class information must be updated.

4. In the enrollment section, you can search by item code or name using the search function, or browse using the scroll.

5. Once you find the correct item, click “Enroll” and then “Confirm” to add it.


6. You may apply for multiple items per enrollment session:
- Each solo item can only be registered once
(except for "Preschool Experience Group", which can be entered twice with different performances)
- Multiple teams may register under the same group/ensemble item

7. After selecting your items, choose a payment method, then click “Next”.

8. Complete all Enrollment Options and proceed by clicking “Next”
a. For other items, complete their options one by one, then proceed.

b. All Experience Groups (including solo and ensemble) must fill in the instrument category/name after submitting the enrollment.
* Note: If using large instruments (e.g. drum kits) that are hard to bring on-site, select the "Video Competition" mode.

9. On the “Enrollment Confirmation” page, double-check all details before clicking “Confirm”.
To edit, click “Back”, make changes, and reconfirm.

10. After successful enrollment, view your data under "Enrollment History" > "Enrollment Details".

11. The system will send a confirmation email after successful enrollment.

12. Follow the instructions to pay the enrollment fee.

13. After payment, go to "Enrollment History" > "Enrollment Details" > "Enrollment Management", upload your payment proof, and await confirmation.

14. If you wish to link your music institution or tutor, go to "Enrollment Details" > "Institution/Tutor Info", select the registered organization/tutor, and click “Update”.
**Only registered organization/tutor members will appear in the list.

15. Once payment is confirmed by JSMA, the official receipt will be uploaded to
"Enrollment History" > "Enrollment Details" > "Enrollment Management", and a confirmation email with the receipt will be sent.

Payment of Enrollment Fees
1. Multiple payment references (ENR-00XXXX) can be combined in a single payment, whether for the same or different participants.

After payment, go to "Enrollment History" to upload the payment record. Prepare a file (e.g., bank slip, deposit receipt, e-payment screenshot) that includes:
- Participant’s name(s)
- Payment reference(s) (ENR-00XXXX)
Then upload the file under "Enrollment Management".
Keep a copy until the competition ends.
a. Student Accounts:
If combining payments, each participant must upload the same payment record under their own account for verification.

b. School / Tutor / Organization Accounts:
If combining payments, use the Bulk Upload Bank-in Slip feature.

Before uploading, select the relevant enrollment items and ensure the total amount matches the payment slip.

3. For cheque payments covering one or more payment references:
Make the cheque payable to: “Hong Kong Joint School Music Association” or “香港聯校音樂協會”
On the back of the cheque, include:
- Contact Person's Name
- Contact Number
- Participant Name(s)
- Payment Reference(s): ENR-00XXXX

Then mail it to the JSMA office. Once received, the association will upload the data to the system.
4. After uploading, wait for JSMA’s accounting team to verify and update your enrollment status to "Successful", at which point the receipt can be downloaded.

5. The system will also send a "Enrollment Completed" email with the official receipt attached.

School Members – View Competition Information
1.Click “School Enrollment Data” to enter the data inquiry page.
2.Click “Students of This School” to view a list of students registered as members.
3.Click “Enrollment Status (Individual)” to view a list of students enrolled in solo events.
4.Click “Enrollment Status (Group/Ensemble)” to view group/ensemble items enrolled by your school.
5.Click “Competition Date” to view a combined list of solo and group/ensemble events from your school.

6. Download Report – School members can download the relevant enrollment list

Student Members – View Competition Information
1. After successful enrollment, view your application under “Enrollment History”.

2. View payment details via Enrollment Management on the homepage.

3. Click “Detailed Enrollment Info” to view full enrollment flow and options.


Download Competition Notification Letter
1. Student accounts: Go to Enrollment History > Detailed Info, then download.


2. School accounts: Go to School & Student Enrollment Records, select the item and click “Details”.

3. Inside the event, click “Download Notification Letter” and print if needed.

Only applicable to live competition participants.
Reply: Ensemble Attendance Details
1. Go to Enrollment History.

2. Under the related item, click “Details”.

3. Inside Enrollment Management, click “Detailed Enrollment Info”.

4. In the Competition Management section, fill in:
a. Accompanying teacher’s contact details
b. Number of participants attending (for seating arrangements)
c. Click “Update” to submit

**Note: Submit by the system-indicated deadline
Applicable to live competitions only
Reply: On-Site Large Instrument Details
**"Large instruments" refer to those not easily hand-carried**
1. Go to Enrollment History

2. Click “Details” for the relevant item

3. Inside Enrollment Management, click “Detailed Enrollment Info”

4. In the Instrument Storage Management section, choose:
a. "No backstage storage needed"
If all instruments can be carried by hand, select this. Then indicate if you need to use the venue piano, and click “Update”.

or
b. "Backstage storage needed"
If large instruments are involved, select this, fill in Instrument Name and Quantity, and indicate piano use. Then click “Update”.

**Note: Submit by the system-indicated deadline
Link Student with Music Institution / Tutor Member
1. Go to Enrollment History > Details

2. Click “Detailed Enrollment Info”

3. Under Institution/Tutor Info, select the appropriate registered tutor or institution for the solo item.
**Only registered institution or tutor members will appear in the list.
Click “Update” to confirm
Note: Info can be updated until the live competition date or video submission deadline
Ensemble Member Certificate Application
**Must be submitted within 7 days after the “Competition Date” on the notification letter
1. Go to Enrollment History > Details

2. Inside, click “Detailed Enrollment Info”

3. Under Certificate Management, input member details:
a. If the member is a registered JSMA student member:
Select “Student Member”, then search by Member ID or Name.
b. If not a student member:
Select “Non-Student Member”, then enter Chinese and English full names.

Click “Update” to submit.
4. To correct an error: click “Reset”, then re-enter or clear data as needed, then “Update” again.

5. After submission, you may immediately view/download the list under Certificate Info.

a. View Certificate Details – click to view names

b.Download Certificate List – click to download Excel file

6. 如有「非學生會員」申請,需要繳付費用,正式發票會在本年度大賽全部合奏隊員証書申請截止後,統一發送到各參賽單位的會員登記電郵,同時上載到「合奏隊員証書資料」供查閱及下載For Non-Student Members, a fee applies. An invoice will be emailed and uploaded to the system after the application deadline.


7. Follow the invoice instructions to pay. Upload proof in the system:
a. Go to Certificate Info, click “Choose File”, upload the payment proof, which will display below.
*You can re-upload before JSMA confirms the payment.
b. Once payment is verified, a receipt will be emailed and uploaded for download.


**If all members are Student Members, the fee is waived and no invoice/receipt will be issued.**
Upload Video for Video Competitions
**NOTE**
Video submissions are final upon clicking “Update”. No further changes allowed.
A) School Members: Submit for ensembles or solo on behalf of students
1. Log in, go to School & Student Enrollment Records > Details

2. In Enrollment Management, choose the item and click “Detailed Enrollment Info”

3. Under Competition Management, submit:
- Contact person’s name
- Contact number (must support WhatsApp)
- Video folder link (must include):
- - Ensemble: video file + sheet music
- - Solo: video + sheet music + student ID
- -
Composition: audio + score + submission form + description (student ID required for solo)
- Piece title
- Composer
- Duration
4. Verify info and click “Update” to submit

B) Institution/Tutor Members: Submit for ensembles or solo on behalf of students
1. Click Enrollment Records (Ensemble) or Student Enrollment Records (Solo) > Details

2. In Enrollment Management, choose the item and click “Detailed Enrollment Info”

3. Under Competition Management, submit:
- Contact person’s name
- Contact number (must support WhatsApp)
- Video folder link (must include):
- - Ensemble: video file + sheet music
- - Solo: video + sheet music + student ID
- -
Composition: audio + score + submission form + description (student ID required for solo)
- Piece title
- Composer
- Duration
4. Verify info and click “Update” to submit

C) Student Members: Submit for solo or personal composition
1. Log in > Enrollment History > Details

2. In Enrollment Management, click “Detailed Enrollment Info”

3. Under Competition Management, submit:
